As the year winds down, many organizations are managing two priorities at once, which results in a lot of planning. Q1 events still need finalizing, from sales kick-offs and leadership meetings to incentive programs that have only just been approved. At the same time, 2027 budgets are landing, which opens the door to getting ahead of the rest of the year’s event calendar.

Across the global programs we run, one pattern holds for almost every event type. The earlier the conversation starts, the more options stay on the table, and the further those options stretch the budget.

Focus First on Q1

There’s still room to plan for your January to March events, though how much depends on the event. Smaller meetings, leadership sessions and regional gatherings often come together within a few weeks, especially with some flexibility on location or dates.

Larger sales kick-offs, incentive trips and international meetings are a different story by this point. Venue space is tighter, group air is harder to secure, and attendee communications need more lead time. The Q1 events we see come together well at this stage tend to look outside the main city centers, and aim for dates that aren’t going to be filling up fast, and get decisions made quickly.

What to Book Now and What Can Wait

Lead times scale with the size and reach of the event. Twelve weeks works well for a small meeting. For a national sales meeting, an international incentive or a large conference, they require longer lead times. These are the planning windows we see working across programs, and what they mean for 2027.

Small meetings, 6 to 12 weeks. Leadership sessions, board meetings and team days. Meetings after March can wait until the new year, as long as the date is held in diaries.

Regional meetings, 3 to 6 months. Meetings that bring people in from several cities or one region. Spring and early summer 2027 meetings need to be in planning now.

National sales meetings, 6 to 12 months. These need large meeting rooms, enough bedrooms and group air, and other companies are chasing the same space. Mid-2027 meetings need to be in the market now, and January 2028 kick-offs by the spring.

International incentives, 9 to 18 months. Incentive trips depend on group air, peak-season resorts and local partners on the ground. Trips for late 2027 need to be in planning now, and 2028 programs can start taking shape by mid-year.

Large conferences, 12 to 24 months. Venues big enough for a major conference often commit their space more than a year out. Most 2027 conferences are already contracted by now, which makes 2028 the year to source.

Holiday parties, 6 to 12 months. Early December dates at the best venues go first in every major city we work in. December 2027 parties are worth booking between January and June.

Looking at the year this way helps with more than venues. Leadership meetings, incentive trips, customer events and holiday parties all compete for the same space and the same budget, and a full-year view stops one from squeezing out another.

Check the Global Calendar Before You Commit

Your own event calendar is only half the picture. What else is happening in a destination can decide whether a venue is free and what you pay for the rooms around it.

Major Events and Hotel Pricing

When a major sporting event, festival or city-wide convention comes to town, hotels fill and rates climb, often for several days either side. Group room blocks tend to go first, because hotels can sell those rooms individually at a higher rate. 2027 has a busy calendar in every region.

In the Americas, CES fills Las Vegas from January 6 to 9, and Super Bowl LXI comes to the Los Angeles area on February 14. Large medical, tech and industry conventions have the same effect on cities like Chicago, Orlando and San Francisco throughout the year, and they rarely make the news.

In Latin America, Carnival runs February 5 to 9 across Brazil, Brazil hosts the FIFA Women’s World Cup from June 24 to July 25, and Lima hosts the Pan American Games from late July into August.

In Asia Pacific, Lunar New Year falls on February 6, and the holiday period closes many businesses, and fills travel networks across the region for a week or more. China’s National Day Golden Week in early October has a similar effect. Beijing hosts the World Athletics Championships in mid-September, and Australia hosts the Rugby World Cup from October 1 to November 13.

In Europe, the Tour de France starts in Edinburgh on July 2, overlapping with Wimbledon and the British Grand Prix, and the Ryder Cup comes to Adare Manor in Ireland in mid-September.

The clashes we see cause the most trouble are the ones nobody spotted until the hotel quote came back.

Timing Matters More When Attendees Need Rooms

When you are booking an incentive trip and attendees need somewhere to sleep, the time of year matters a lot more, and the right season depends on where you’re going. City hotels are busiest Monday to Thursday and often have more space and softer rates on weekends, while resorts tend to work the other way round.

Peak seasons also change from region to region. In the US and Europe, spring and fall are the busiest months for meetings. Mexico and the Caribbean see their high season from December to April, which is also when many incentive trips are looking to be booked. In South America and Australia, December to February is summer holiday season. Across much of Asia, Lunar New Year and national holidays shape availability more than the weather does.

Group size narrows the field quickly. Twenty rooms is rarely a problem. Two hundred rooms in one hotel, on the same nights, with meeting space attached, it leaves a handful of properties in most cities, and they commit that space to whoever asks first.

How Strategic Sourcing Opens Up More Options

The further ahead a program is planned, the more a sourcing team can do with it. Across the programs we manage, three things make the biggest difference.

Global hotel relationships. ALTOUR brings more than $20B in buying power to hotel and venue negotiations. Those long-standing relationships often mean earlier access to space, better rates and more flexible terms, from major city hotels to resorts and unique venues.

Local partners on the ground. For international events and incentives, we work with trusted destination management companies (DMCs) in each region. They know the venues, the local suppliers, the customs and the seasons, and they handle the transfers, activities and on-site logistics that make an international program run.

Travel and meetings managed together. Because ALTOUR manages business travel as well as meetings and events, attendee travel, group air and the event itself, sit with one partner. Combined spend strengthens negotiations, and a single view of travelers and attendees, supports duty of care if plans change.

Technology That Keeps the Program Connected

A full year of events across several regions creates a lot of moving parts. Registration, attendee management and hotel bookings run through Cvent, set up and managed by our event technology team, so clients get the platform without needing their own administrator.

That data flows into ALTOUR iQ, which is our intelligence platform the pulls your event, travel, finance and supplier and CRM data into one single view. Planners and finance teams see registrations, hotel bookings and spend in one place, can spot when room bookings are falling short before it turns into a penalty, and can compare each event against the last. The technology takes care of the science, which leaves more time for the art of designing an event people remember.

Making Your 2027 Budget Go Further

Timing is your biggest opportunity and if you’re able to move an event by a week, or switching to a Sunday arrival, it can change a hotel quote more than any amount of negotiation. Considering all the ways you can tweak events can still deliver on the experience you desire. Booking a series of events together, rather than one date at a time, can give you more room to talk about rates and terms.

Working with a partner

If you’d like a second pair of eyes on next year, send us your 2027 event list, even if it’s only rough dates and headcounts. We’ll map it against lead times and the global calendar, flag any clashes, and come back with what to book now and what can wait.
